Troubleshooting and FAQ.
The questions people ask us most, each with a short answer and a link to the guide that explains more. Find the part of Actuly you are stuck in, open the question that matches, and follow the steps.
Four things you might meet in a month, gathered on one screen: two unmapped accounts, the task they hold up, a budget nobody has adopted, and an indicators task with figures missing, which only happens when a workflow asks for every figure. Each is answered below. Home & Garden Retail Co is an example company.
1. Getting in
Your address, your password, and who can get in.
Every practice has its own Actuly address, and the workspace's administrators look after who can use it.
Where do I log in?
Every practice has its own address, such as yourfirm.actuly.co. The workspace name is the first part of it, so for acme.actuly.co it is acme. If a page asks for your workspace name, type just that part, with only letters, numbers and hyphens.
Not sure what yours is? Ask whoever set up Actuly for your practice.
Still lost? Contact support →I have forgotten my password.
Use the Forgot password link on the login page. It emails you a link to choose a new password.
One of your workspace's administrators can also send you a link: on the Users page, they press the lock icon on your row, whose tooltip reads Send password reset. That email takes you to a Reset your password page: choose a new one, then log in with it.
A link from an administrator works for 24 hours, and only the newest one you were sent works. If the page says This link no longer works, it gives the reason: expired, replaced by a newer email, or already used to set your password. Ask for a new one, or log in with the password you set.
Who the administrators are →It says "Access Restricted" or "Workspace Not Found".
Access Restricted means your login cannot use the workspace at this address. Either the address has a typo, you have not been added to that workspace, or an administrator has switched your account off on the Users page. The page may list the workspaces you do belong to under "Did you mean one of these workspaces?". Workspace Not Found means there is no longer a workspace at this address.
If it says "You don't have permission to access this resource" and you are sure the address is right, contact us: the workspace itself may be switched off.
Contact support →Why am I asked to accept the Terms of Service?
A workspace accepts Actuly's Terms of Service once, before anyone can use it. Read them, tick I have read and agree to the Terms of Service and press Accept and Continue. Once one person in the workspace has accepted, nobody else is asked.
Read the Terms of Service →It says "Your trial has expired".
A trial runs for 30 days from the day the workspace is created, and Actuly emails a reminder the day before it ends. After that Actuly shows a page headed Your trial has expired, with the line "Please contact us to subscribe."
Your data is kept for 90 days after the trial ends, so subscribing picks up where you left off. Email support@actuly.co, or use the form below.
Contact support →How do I add a colleague, and what roles are there?
Administrators see Users in the side menu. Add User asks for a first name, last name, email and a role, User or Admin, and can send a welcome email. Admins manage the Users page, can lock documents, and can undo or take over other people's tasks.
On each row, the switch in the Status column disables or re-enables the account, and the buttons resend the welcome email or a password reset.
Who tasks go to →2. Data and syncing
Syncs, mappings and numbers that do not match.
Most data problems come down to a sync that has not finished, or an account with no reporting line.
This month's sync failed.
The sync task in the month's job turns red with the reason under its name, and whoever started the job by hand gets a Task failed notification (a job a schedule created notifies nobody). Fix the cause, then press Retry.
If the connection to Xero, QuickBooks or FreeAgent has expired, the task also offers Re-Authenticate: reconnect first, then retry.
Working a job's tasks →Fetch Data has said "Executing..." for a long time.
Fetch Data only fetches last month, so it is normally quick. The sync runs in the background and the task completes itself when the data has arrived. While it runs, Current Status reads Syncing Xero, Syncing QuickBooks or Syncing FreeAgent.
If the sync fails or times out, the task turns red with the reason. If it offers Re-Authenticate, the connection has expired: reconnect first, then press Retry.
The first sync →How do I know which month a company is up to?
Current Status on the Overview says, for example, Synced to September 2026 once the reports have been refreshed with that month. If it is a month behind, open the Jobs tab and look at the month's Monthly Close and Sync (Cloud) job: its sync task may be waiting for someone, or may have failed.
Where to see every job →The company only shows Overview, Jobs and Settings.
Scorecard, Performance, Forecast and Documents appear once the first trial balance lands. Until then, open the onboarding job on the Jobs tab: the connect wizard or the file import is usually waiting on a step.
A page saying Where's my report? means the data is not in yet. Wait for the sync, then press refresh the report on that page. If it still does not appear, the Reconnect to link on the same page, followed by your accounting software's name, tries again.
Your first reports →The numbers do not match Xero.
Check four things in this order. Unmapped accounts: their balances appear on no line at all. The year end: with the wrong month, year to date and full year cover the wrong months. The basis: Actuly reads the Xero and QuickBooks trial balance on an accrual basis, so a cash-basis report there will differ. The mapping: an account on the wrong line takes its balance with it.
The Trial Balance viewer under Settings shows the months as loaded, account by account.
Mapping the chart of accounts →The Overview says "2 unmapped accounts".
This shows for a company connected to Xero, QuickBooks or FreeAgent. Someone has added accounts in the accounting software since the last sync, and they arrived with no reporting line. Press Fix, which opens the connection wizard at the accounts that need a line, give each one a line, and every month picks it up. Until they are mapped, the month's Complete Accounts Matching task fails with 2 accounts still need mapping.
Accounts that arrive later →Re-importing my chart of accounts wiped the mappings.
The import treats the Reporting Line and Unit columns as part of each account, so a file without them clears the mapping on every account it touches. Re-import a file that still carries both columns, ideally one you exported from Actuly.
Importing from a file →3. Reports
Missing lines, brackets, and layouts that will not stick.
A line that is not where you expect has usually been hidden, has no figures, or has nothing mapped to it.
A line is missing from the report.
Lines, categories and calculations on the P&L and Balance Sheet always show, at 0 when empty. So a missing one has usually been hidden by the Report Format: Show hidden lines in the Report Options menu brings it back at half strength. A group collapsed to its total opens again with Show Sub items. And if the account behind it is unmapped, its balance is on no line at all.
Hiding lines, and getting them back →A Unit with no figures does not show.
Unit rows hide when they have nothing in the period. To keep one on screen, such as a new shop, open Choose report lines from the Report Options menu on the P&L, Balance Sheet or Indicators tab, tick it and Confirm. It then shows in Financial History, Performance vs Plan, documents and the forecast.
On the Dimensions tab, Show Blank Lines brings back all-zero rows when Units are columns or two dimensions are crossed.
Choose report lines →Why are my costs in brackets?
Costs are held as negative figures. Whether a negative is written in brackets or with a minus sign is set in Display Preferences, at the top of the Report Options menu, under Minus Figures. The dialog also sets millions, thousands or units, Show Currency Symbol and decimals. These preferences are saved per company, separately from the Report Format. A figure that looks a thousand times out is usually this Units choice.
Display Preferences →A figure looks wrong, or has the wrong sign.
It is almost always a mapping. Open the Chart of Accounts under Settings and check which reporting line the account points at: the line's category decides where the balance lands. Fix the account once and every month follows. The Trial Balance viewer, also under Settings, shows the amounts as loaded.
Mapping the chart of accounts →Why is there an Uncategorised row, or a "(directly tagged)" row?
Any part of a line that was never tagged to a Unit shows as Uncategorised, so the Units still add up to the line. When a parent Unit carries amounts of its own as well as its children's, a (directly tagged) row holds them for the same reason. Tag the transactions at source, or assign the account to a Unit, and they shrink.
What dimensions are →My Report Format changes are not showing.
Until you press Save on the "Unsaved format changes" bar, the changes are only on your screen. The blue star beside Report Format makes a format the company's active one, which other screens open on. A document block remembers its own format, and a line marked Hide from Forecast reports still shows in Performance. Formats are edited in Performance only; the forecast pages just choose one.
Building Report Formats →Year to date covers the wrong months.
The year end decides what year to date, full year and the forecast's year mean. Check it on the Accounting Dates card under the company's Settings, Company tab. Edit opens Configure Year End, whose Upcoming Periods list shows which month carries the Year End tag before you save.
Year end and company details →4. Forecasts
Zeros, a star that will not light, and slow refreshes.
A forecast is a method per line. When it looks wrong, the method, the adoption or the dimension is usually the reason.
A new line forecasts zero, or is not in the forecast.
A line with no actuals is not in the forecast to begin with. Keep it with Choose report lines in Performance, and from the forecast's next refresh it is an ordinary row. It forecasts zero until you give it a method, or type its months in with Manual Entry.
Forecasting a line with no history →Performance vs Plan is not comparing against my budget.
No budget or revised forecast is adopted yet. Until one is, Performance vs Plan compares against the Rolling 12 Months forecast, in columns labelled Forecast. To compare against the budget, open it and click the star beside the Forecast Version dropdown. A budget page with nothing adopted also says No budget adopted when it opens, with Adopt this version. One budget and one revised forecast can be adopted at a time.
In a document, a new block uses the adopted budget, or the newest budget when none is adopted. Each block then keeps the forecast version you chose, so after a year end point it at the new year's budget.
Adopting a version →The star is greyed out: "Only Region forecasts can be adopted".
Only a forecast on the company's primary dimension can be adopted, because Performance vs Plan is built on the primary. The message names it, here Region, and this version was built on another dimension. Build the budget on the primary, or change the primary on the Reporting Dimensions page if this dimension should be the main one.
Changing the primary asks first: the Rolling 12 Months forecast is rebuilt, losing manual adjustments, and adopted budgets are un-adopted and kept as history.
Forecasting by dimension →Saving my dimension settings is refused.
The message says why. Split forecasts exist: delete the budgets built on Split Dimensions before turning it off. Split Dimensions is the primary view: pick another primary first. That dimension is assigned to reporting lines: reassign those lines on Reporting Lines.
A plain "Failed to save dimension settings" after unticking a dimension usually means a forecast is built on it. Delete that forecast first.
Standard and Split dimensions →Every save rebuilds the forecast, and it is slow.
Tick Pause Auto-Refresh under Forecast in the Report Options menu. Each save is recorded, and an amber pill counts the changes waiting. Figures built from other lines, such as a cost set to a percentage of sales, can look wrong while paused. Press Refresh now, or untick the box, to rebuild once at the end.
Pausing the refresh →"Updated at" is red on Rolling 12 Months.
Newer actuals have arrived since the rolling forecast was built. Press Get latest beside the date. If it stays red, Refresh Forecast in the Report Options menu rebuilds it.
Refreshing a forecast →The forecast cash balance looks wrong.
Cash is the balancing figure. It is worked out last each month from everything else, which is why the balance sheet always balances. So an unlikely cash line means an unlikely assumption somewhere else, such as debtor days, capex or a loan. Open Key Metrics in the forecast and compare the ratios with the last twelve months.
Why everything balances →5. Documents
PDFs, pending text, and figures that will not move.
Every table and chart in a document is a snapshot, and nothing reaches a final PDF until its text is approved.
My PDF is missing my latest change.
The PDF is built from the saved document, and autosave runs about two seconds after each change. Wait for Saved at in the Content header before you download. With Auto-save switched off, press Save first.
Saving and exporting →Download PDF says "Review 2 items to Download".
Some AI or template text is still pending. The button opens Review Before Download, which walks through each item with View, Approve, Skip and Approve All Remaining. Download Draft skips the checks and prints a DRAFT watermark instead, for passing round internally.
Approving AI text →Commentary says "Data has changed since this commentary was generated".
The document's figures changed after the text was written. Refreshing any block, Refresh All Data or a new Report Date marks every block that carries AI text as out of date, AI text blocks included, even when the change was in another block. The words stay as they were until you press Update, so a pack never changes its story without you knowing.
AI text after a refresh →A table still shows old figures after I fixed something.
Each table and chart keeps the figures from when it was added or last refreshed. Press the refresh button on the block, or Refresh All Data in Settings for the whole document. Changing the Report Date also refreshes every data block.
A Unit with no actuals yet only appears once it is kept with Choose report lines in Performance. Keep it there, then refresh.
Refreshing a document →A block says "The Report Format linked to this block has been deleted".
The block was built on a Report Format that has since been deleted in Performance. It keeps showing its last figures until you press Reset and refresh, which moves it to the company's active Report Format.
Formats in documents →I cannot edit the document.
Either someone else has it open, in which case the banner says who is editing and you see it read only (an admin also gets Take control on that banner), or it has been locked with Lock document. The lock banner says who locked it and when, and an admin can unlock it from there.
Locking a document →6. Workflows and indicators
Tasks, notifications, and the monthly figures.
A stuck job is nearly always one task waiting for one person, or one thing to fix before Retry.
A task says "Only Emyr Lewis can action this task".
Only a task's assignee sees its button. Ask them, or open the three-dot menu on the task and choose Reassign to hand it to someone else. Admins also see Assign to me. To move the whole job, change the Job owner under People on this job at the top of the job page. An approval task is the exception: its approvers see Approve without being the assignee, and only the owner sees Continue.
Who tasks go to →Nobody was told a job was overdue.
Job overdue goes once, on the day after the due date, to whoever holds the job's first unfinished task. A scheduled job's tasks follow the Job owner chosen under People when the schedule was set up. If that person is no longer a user and the company has no Account Manager, the tasks are Unassigned and nobody hears. Open the schedule and choose a new Job owner, or set an Account Manager under the company's Settings, on the Users tab.
Notifications →The dialog says "Choose at least one approver".
The workflow has an approval step, and an approval needs at least one approver before the job or schedule can be saved. Prepare Document's Approve Document? step is one. Tick the approvers in the dialog's People section. On a job already running, add them under People on this job: the task says "No approvers yet" until you do.
Approvals →This month's job has not appeared.
Actuly creates scheduled jobs once a day, when a schedule's creation date arrives. Open the Schedules tab inside the Jobs tab: the schedule should be Active, not Paused or Expired, with the Next Creation date you expect. A one-off schedule switches itself off after its job.
Schedules →Complete Accounts Matching failed.
The task fails while any account has no reporting line, with a reason such as 2 accounts still need mapping. Press Open COA Matching, map them, and the task tries again by itself.
When a task fails →I completed a task by mistake.
Open the three-dot menu on the completed task and choose Undo task…. The dialog lists any later tasks that will need doing again. You can undo your own task when nothing after it depends on it; anything else needs an admin.
Undoing a task →The indicators task says "Figures still missing".
The workflow Actuly provides lets you complete the month with figures missing, so you only see this when a workflow has been set up to ask for every figure. The message counts them, for example "2 of 4 entered for September 2026". Your figures are saved. Fill in the blanks and press Save and complete again, or untick Live on an indicator the company no longer records.
The month it asks for is the one before the due date's month, so a job due on 15 October asks for September.
Entering the figures →There is no Indicators tab, or it says "No indicators are live for this company yet".
With no Indicators tab after Key Metrics, indicators are not switched on for your workspace: ask Actuly support. If the tab says nothing is live, open the company's Settings, Indicators tab, and tick Live on what it records. A page reading No indicator reporting lines yet needs lines adding under the Non-Financial categories from Reporting Lines.
